Terms of use
The short version: Koloab is a plugin you install on your own website. Your files stay yours, on your hosting, and looking after them stays your job.

What Koloab is
Koloab is a WordPress plugin. You install it on a website you control, on hosting you control, and it turns part of that website into a private area for your staff. We are not a hosting company and we do not operate a service that holds your data.
Because of that, the relationship is simpler than most software terms suggest. We supply software. You run it.
The plugin does not phone home
Koloab does not send your files, your content, your staff details or your usage back to us or to anyone else. There is no Koloab server holding your material, because there is no Koloab server in the path at all. Everything the plugin stores lives in your WordPress database and your Media Library.
The one exception is licence checks. If you buy a paid plan, the plugin verifies that licence with our payment provider so it knows which features to switch on. That exchange covers the licence and the site it belongs to. It does not include your files or your content.
Your files and your data are your responsibility
Read this part properly. You decide what goes into your intranet. If you put confidential, personal or otherwise sensitive information in there, securing it, backing it up and complying with the law around it are yours to handle, not ours.
Specifically, and to the fullest extent the law allows, we accept no liability for:
- loss, corruption, exposure or deletion of any file, document or content you store using Koloab
- any breach of your website, your hosting, your WordPress installation, your other plugins or your staff accounts
- your compliance, or otherwise, with data protection law in respect of information you choose to store
- anything your own staff or administrators do with the access you give them
- loss of business, profit, revenue, goodwill or anticipated savings arising from any of the above
We build the plugin carefully, we take security seriously, and the security work is described honestly on this site. None of that makes us the custodian of your information. You are.
Things we ask you to do
- Back it up. Koloab has no backup system of its own by design. Your host's backups, or a backup plugin, are what protect your intranet. Test that a restore actually works before you rely on it.
- Add a captcha to the login. We do not bundle one, because we would rather not tie you to a provider you did not choose. The sign-in form accepts the common free options. If anything sensitive is going in there, install one. The docs explain how.
- Keep WordPress and your plugins updated. Most WordPress compromises are old, known and already patched somewhere the site owner has not applied.
- Give people the access they need and no more. Koloab has department locks, per-person visibility and file passwords for exactly this reason.
Licences and payment
Paid plans are per site and are sold through Freemius, who handle payment and licence issuing. Their terms cover the transaction itself.
A licence unlocks features on the site it is registered to. If a subscription lapses, nothing is deleted: the workspace falls back to the free Starter tier, settings are kept, and the paid features return if the licence does.
The software is provided as it is
Koloab is licensed under the GPL, version 2 or later. As the GPL puts it, the program is provided without warranty of any kind. We do not promise it is free of bugs, that it will suit a particular purpose, or that it will run identically on every host, theme and plugin combination in existence. We do try very hard, and we fix what we find.
Support
Email support is included with Premium, and we answer general questions from anyone. It is best effort with no guaranteed response time. We would rather say that plainly than write a service level we cannot keep.
What we cannot exclude
Nothing here limits liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot lawfully be excluded. If you are buying as a consumer rather than a business, your statutory rights are unaffected.
Changes
We may update these terms as the product changes. The date at the top tells you when they last moved. Material changes will be noted on this page rather than applied quietly.
Law
These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
